TERMS & CONDITIONS

The Terms & Conditions for events organised by Skaði Peak Adventures are intended to ensure clear rules and fair treatment of all parties: participants and organisers. They cover the following points:

  • Booking and payment

  • Cancellation

  • Insurance

  • Liability

  • Health and safety

  • Forms

  • Feedback

  • Marketing and media

Text written in bold and in CAPITAL LETTERS indicates very important information which YOU MUST FOLLOW.

You” means the person purchasing participation in our event or taking part in our event.

We” means Skaði Peak Adventures (the event organiser).

 

BOOKING AND PAYMENT

 

You can make a booking by purchasing participation in an event or by contacting us directly.

Events with a specified date and price:
You fill in the booking form and make a bank transfer to the account provided by us. Payment is made in advance (100% of the price), and your booking is confirmed once we receive the payment. We reserve the right to refuse a booking and to change prices until your participation has been finally confirmed by you and full payment (100%) has been received.

Private events:
Payment is required only after the programme, conditions, and other details have been agreed upon and the event has been confirmed by us. If you accept our proposal, payment is then made.
For such events, a 50% deposit is required, with the remaining balance due 8 weeks before the event's commencement.

All bookings include a non-refundable 10% booking fee, which will be retained in the event of cancellation.

 

CANCELLATION OF PARTICIPATION OR EVENT

 

Cancellation policy

At Skaði Peak Adventures, we understand that circumstances may arise which prevent participation in planned events; it may also happen that an event itself is cancelled. The rules applicable in such cases are set out below.

 

Event cancelled due to weather

All activities depend on weather conditions and the availability of leaders. In exceptional circumstances, events may be cancelled or rescheduled, sometimes even at short notice. In such cases, we will inform you as soon as possible and propose an alternative solution, such as a different date or a credit voucher allowing you to rebook any other event.

In the event of adverse conditions (snow, strong wind, heavy rainfall, landslides, etc.), the event may be modified or moved to a different location. The decision is made following a risk assessment, taking into account the weather, the group and safety considerations. Refunds are generally not possible in such cases, as the event or location is changed rather than cancelled.

We strongly recommend purchasing cancellation insurance or other insurance covering costs related to event cancellation, which may cover expenses incurred in such situations (e.g. accommodation, train or flight tickets, etc.). Skaði Peak Adventures does not provide this type of insurance. Please contact an insurance company of your choice for this purpose.

 

Participant cancellation

If you cancel your participation, the following rules apply:

  • Cancellation more than 8 weeks before the event – refund minus the 10% booking fee;

  • Cancellation within 8 weeks before the event – refund minus 50%;

  • Cancellation within 14 days before the event – no refund.

 

NOTES:

1. Please remember that cancellation must be sent to us in writing, e.g. by email.

2. Days are counted as follows:

  • 8 weeks: the period between the date your message is sent and the first day of the event is 56 days.

  • 14 days: the period between the date your message is sent and the first day of the event is 14 days.

3. Depending on the type of event, you may find someone to take your place. You must inform us of this. The replacement participant must complete and sign a separate form and settle any payments with you directly. We reserve the right to refuse such a change (applies to e.g. women-only events, age restrictions, etc.). Once you have confirmed in writing that financial arrangements have been settled, we may approve the change.

 

Minimum number of participants

In order for an event to take place, a minimum number of participants must be reached. If this number is not met, we will inform you in advance. In this situation, you will receive a credit voucher for another event or be offered an alternative date.

 

Natural disasters

Refunds are not possible in cases of events beyond our control, such as natural disasters. In such cases, a credit voucher will be issued, allowing rebooking for a different date or a different type of event.

 

Pandemics and exceptional situations

We are not responsible for any consequences related to COVID-19 infection during participation in activities or any similar medical events. Cancellation of an event due to such circumstances will result in a credit voucher allowing rebooking for another date or a different type of event.

 

Credit vouchers

All credit vouchers are valid for 12 months from the date of issue.

 

INSURANCE

Participants are responsible for their own equipment, personal belongings, injuries or vehicle damage and its contents, unless the damage results from Skaði Peak Adventures' negligence. This means we are not responsible for your parked vehicle or any items left inside during the event (nor for any fines, charges or penalties), and we are not responsible for items lost or damaged during your participation in the event.

We are not responsible for losses, damages or costs that could not reasonably have been foreseen. Skaði Peak Adventures is only liable for damage resulting from proven negligence or failure to fulfil obligations (subject to the section “Health and Safety” below). Our company holds public liability insurance.

 

APPLIES TO EVENTS WITH ACCOMMODATION ONLY

  1. We have arranged accommodation for this event. The accommodation is for clients participating in the event only and is included in the event fee.

  2. Apart from the duration of the event, we do not arrange or book accommodation for you or for any other persons.

  3. We are insured to lead and instruct you during mountain activities (including walking, hiking, navigation workshops, etc.). The insurance held by us does not provide cover for you whilst you are at the accommodation.

  4. We do not accept responsibility for any damage, theft or loss of your personal belongings whilst at the accommodation. You accept full responsibility for your belongings during your stay.

  5. We do not provide personal cover at the accommodation. Any personal injury, illness, incident or death that may occur whilst you are at the accommodation is not covered by us. You accept full responsibility for your own safety whilst at the accommodation.

  6. Should there be a problem or emergency whilst you are at the accommodation, you acknowledge that responsibility for this cannot be passed on to us.

  7. Any vehicles parked at or near the accommodation remain under your own care and insurance. We accept no responsibility for any damage to, or theft from, your vehicle whilst it is at the accommodation.

  8. Food and drink are only included with the accommodation where this is explicitly stated in the event description. Where not specified as included, you must provide your own food and drink for the duration of the event.

 

HEALTH AND SAFETY

Please ensure that your health condition allows you to participate in the chosen activity. Inform us of any medical conditions, medications or disabilities so that we can adjust the event accordingly or propose a more suitable activity.

Please remember that withholding medical information may pose a risk to your health and life, as well as to the safety of the entire group.

If you feel unwell, inform the group leader immediately. You MUST follow the leader’s instructions, as this helps ensure the safety of the entire group.

We reserve the right to exclude participants who do not meet the requirements, pose a risk to others or are not properly prepared. The same applies to individuals using threats, offensive language or behaving aggressively. In such cases, no refunds will be issued.

 

IMPORTANT: After receiving your booking, you will receive detailed participation information, including a list of required and recommended equipment. WE RESERVE THE RIGHT TO REFUSE YOUR PARTICIPATION IF YOU ARE NOT ADEQUATELY PREPARED, for example, in terms of clothing or equipment (e.g. waterproof jacket, appropriate footwear, warm layers, headtorch, etc.). The leader MUST ensure the safety of the entire group and cannot put others at risk by allowing an unprepared participant to take part.

 

AT OUR ONE-DAY EVENTS, THERE IS A STRICT BAN ON ALCOHOL AND ANY INTOXICATING SUBSTANCES.

At events with accommodation, alcohol may be consumed only in moderate quantities AND NEVER ON THE DAY OF A MOUNTAIN ACTIVITY.

IN THE CASE OF NIGHT ACTIVITIES, ALCOHOL MUST NOT BE CONSUMED DURING THE DAY.

THE MOUNTAINS ARE NOT A PLACE FOR SUCH SUBSTANCES. FAILURE TO COMPLY MAY RESULT IN EXCLUSION FROM THE EVENT WITHOUT REFUND.

We prioritise the safety of the entire group, so please leave these bits for another time.

 

FORMS AND AGE RESTRICTIONS

To participate in our events, you must be 18 years of age or older. Required forms (booking, medical) must be completed before the activity begins. Failure to complete the required documentation may result in exclusion without refund.

IMPORTANT! Minors may participate only if accompanied at all times by a parent or legal guardian. In short, you may bring your own child, but you may not bring someone else’s child, nor younger siblings, even if you are over 18.

 

FEEDBACK

Your satisfaction is important to us. If you have any comments or issues, please inform the group leader as soon as possible so that we can respond appropriately.

 

MARKETING AND MEDIA

During our events, we take photographs and video recordings, which are used on our social media channels and promotional materials. These images and recordings are not sold to third parties. As a participant, you will have access to these images and may download and share them on your private social media accounts, but you must not sell them or use them for commercial purposes.

Only selected images and recordings are published on our website. We aim to take as many photos as possible so that everyone has a souvenir from the event. These images will be available in a gallery accessible only to event participants. Each participant may download any pictures from the event gallery they attended, but must not resell or use them commercially. All photographs and recordings remain our exclusive property, and you do not acquire any rights beyond those described here, even after downloading them.

We respect your anonymity – we do not publish participants’ names.

By participating in our events, YOU AGREE that we may publish images and recordings in which your face or silhouette is visible.

 

SAFETY

Our activities take place in mountain and outdoor environments and involve natural risks (including, but not limited to, the risk of injury, deterioration of health, and, in extreme cases, serious accidents).

We take all reasonable steps to conduct activities safely and in line with best practice; however, it is not possible to eliminate all risks.

By participating, you confirm that you understand the associated risks, have read the Safety Policy, agree with its contents and participate in the event voluntarily.

 

PERSONAL DATA AND MEDICAL DATA

We process your personal data in accordance with applicable data protection laws and our Privacy Policy.

For safety reasons, we require you to provide medical information before participation.

Providing medical data is a condition of participation – failure to complete the medical form means you cannot take part in the event.

Medical data is processed solely for safety purposes and may be shared with emergency services or medical personnel if necessary.

Governing law and jurisdiction:
These Terms & Conditions are governed by the law of England and Wales, and any disputes will be settled by the courts of England and Wales.
