Why do we need your personal information?


When you book a place on one of our events or courses, we (Skaði Peak Adventures) are required to collect certain personal information about you. This information is necessary to manage your booking, communicate with you, and ensure that you can participate safely in the activity.
We are committed to maintaining the trust and confidence of our clients. We do not sell your data to any external companies. We may, however, sometimes need to share your data where this is necessary to provide our services or to comply with legal obligations. We never share your data with third parties for marketing or advertising purposes.


What information do we need, and when do we collect it?


When booking for an event or a course (at the time of booking), we ask you for the following personal details:

  • First and last name
  • Email address
  • Phone number


Then we ask for more details that you also must provide BEFORE the event starts, ideally at the same time as the booking. The following details are required to ensure your safety and the safety of other members of the group. Please provide them as soon as possible, as this allows us to accommodate any special needs, requirements or other adjustments. Alternatively, they can be collected from you when you arrive for the event (but before you are allowed to participate).

 

The following details are collected in the Participation and Medical Form (for each person participating):

  • First and last name
  • Email address
  • Phone number
  • Medical details
  • Emergency contact name
  • Emergency contact phone number

 

We also collect your details if you submit an enquiry using the website form:

  • First and last name
  • Email address
  • Phone number (optional)
  • Subject of your message
  • Your message

 

Are there any other ways we collect your information?

When you contact us in any other electronic way, write a comment on any post created by us on our social media, or leave a like on our post, Skaði Peak Adventures also collects information.
Cookies: when you use this website, Skaði Peak Adventures will also collect some non-identifiable information through the use of cookies (see our Cookies Policy here).

 

How do we use your information?


For administrative purposes, Skaði Peak Adventures uses the information to process your booking or your payment and to provide you with information regarding your event or course. The additional data collected from you in the Participation and Medical Form is used to safely deliver your event or course.


If you have consented, we may also send you marketing emails; you can unsubscribe at any time.


Remember, Skaði Peak Adventures will never share your information with third parties for marketing purposes. We may use photos and recordings in our own materials that are shared on our social media and other marketing pages, as explained below.


How do we share your information?


We may share your data with other people attending the same event or course. This helps with smooth communication between all participants. In most cases, we only share your first name and telephone number (we may add them to a WhatsApp group or others). This could also include our subcontractors delivering our courses, if relevant. The purpose of this sharing is to provide you with the course and for your safety.


Details in the Participation and Medical Form may be shared with others in the event of a medical emergency.


If you book a formal course (e.g. certified by NNAS) we also need to share your data with the relevant awarding organisation.


We may also share or disclose your personal information with other third parties if we are required by law to do so or to protect the safety of our subcontractors, if relevant.


We also use photos and recordings on our website and social media. They can be seen by anyone accessing our website or social media. They are not sold and cannot be used commercially by anyone. We also share photos and recordings of an event or a course between participants of that event or a course only, when every participant may use them in any way they want, but they must not use them commercially or sell them to anyone. 


How do we ensure the security of your information?


Your information is stored electronically on servers based in the EU. It is accessed by authorised persons only for the purposes set out above, including our sub-contractors for the duration of any event or course, if they are run by our sub-contractors, where relevant and only for the duration of the event or course.


How long do we keep your personal information?


We keep your personal data until the end of the course or event, to provide you with the services requested. After that, we keep the records as required by our insurance. After it is no longer required, we will delete your personal information.


What about third-party websites?


If you click on a link on our website that takes you to another website, we are no longer responsible for the information or content there. Please read their privacy policies, as they may be collecting your personal information or cookies. We do not accept any responsibility or liability for any external websites.


What are your rights?


You can exercise any of the following rights by writing to us using the online form or email.


Your rights in relation to your personal information are:

 

  • right to request access to your personal information („subject access request - SAR”);
  • right to require your personal information to be corrected by us (if you believe any of your personal information is inaccurate or incomplete)
  • right to delete your personal information. Sometimes we cannot delete your data if keeping your data is required by law.

Any complaints related to the way we handle your personal information can be made to the Information Commissioner’s Office at www.ico.org.uk.
